TAKE NOTICE that the First Annual General Meeting of the Members of H T & C Mutual Insurance Company will be held on the 18th day of March, 2021 at the hour of 2:00 p.m., for the purposes of:

The meeting will be held electronically, allowing all members who wish to attend the meeting and vote, to do so by establishing a communications link to the meeting.
If you wish to participate in the meeting electronically, you must pre-register no less than 48 hours prior to the commencement of the meeting by e-mail to agm@htcmutual.ca or by telephone at 519-236-4381 and you will be provided with connection details as to how to join the meeting. You will also be able to pre-register and obtain connection details on the Company’s website.
The 2020 Annual Statements for Hay Mutual Insurance Company and Town & Country Mutual Insurance Company are available on the Company’s website at www.htcmutual.ca and a copy may be obtained by sending a written request to the Company’s head office at least 14 days before the meeting.

In the summer of 2020, you were sent information regarding a proposed amalgamation of Hay Mutual Insurance Company in Zurich with Town & Country Mutual Insurance in Strathroy. We were delighted when both memberships voted in favour of the amalgamation at the Special General Meeting held on August 20, 2020. By receiving the required membership approval, the new company H T & C Mutual Insurance, will be in effect as of January 1st 2021.The new company will continue to operate out of both of the current office locations. This will provide our Members with the same local and personalized service that they have come to expect from the legacy companies.
At H T & C Mutual we value the Mutual system and the legacies of our heritage companies. As well respected businesses within the Mutual Insurance industry, we strive to hold H T & C Mutual to the same standards. We will continue to serve our Members and local communities with quality insurance solutions and services.

After consolidating all votes from our members, there is overwhelming support for the amalgamation between Hay Mutual in Zurich and Town & Country Mutual in Strathroy!
Therefore, we are proud to continue with our plans to build on the strengths of both companies in order to create HT&C Mutual Insurance Company, effective January 1st, 2021.
We are grateful to all our members who have supported us over the years and we hope that you will continue to do so as we progress through this new chapter in our history. This is an exciting opportunity and only aims to strengthen our resolve to support the people and communities around us.

We fully support the national directive to reduce the risk of spreading Covid-19, but we know that this has created uncertainty for our members and communities. Please see below for details about how we will continue to serve our policyholders going forward.
Our Building
Our building remains closed, but we remain fully operational. Our staff is equipped to work from home with full capability and capacity. Although, we will use digital means wherever possible, we remain safely able to process mail, issue cheques and print policies.
Non-Sufficient Funds (NSF)
We will be temporarily waiving NSF fees until further notice.
Payment Options
We will continue to work with you in an effort to find alternate arrangements for policyholders with financial circumstances impacted by Covid‐19 and who are experiencing difficulties with payment of premium. Contact our office or your agent to discuss some options.
Payment Methods include:
Reduction in Auto Premium
While the filed automobile rates haven’t changed, policyholders have the option to endorse their policy to recognize any change of use of their vehicle to reduce their premium amount (e.g. class of use, shortening commute distance, taking road coverage off vehicles).
Please note, when social distancing measures are lifted and policyholders go back to their normal patterns, these changes will have to be modified back to their previous state.
Vacancy and Unoccupied Businesses
The government of Ontario has ordered non-essential businesses to close for the duration of this State of Emergency. As long as the order to stay closed is in place, we will not consider the business location as vacant, unoccupied or shut down if:
Claims
We have full confidence in our vendor partners and our dedicated staff to ensure ongoing service delivery at a time when home visits and onsite physical inspections will be limited. We will be flexible with policyholders who are experiencing difficulties with filing documentation and any other matters of procedure which could be compromised due to social distancing requirements.
